This policy explains what information DoubleTree Distribution (DoubleTree Distribution, “DoubleTree,” “we,” “us”) collects through this website, our online product builder, and our customer portal, what we do with it, and the choices you have. We sell commercial door and entrance products to businesses, and this site is built for that: to let contractors and facility teams configure openings, request estimates, and follow their orders.
1. Information you give us
When you request an estimate
When you submit a configuration through the product builder, we collect:
- your name, company name, email address and phone number;
- any notes you add to the request;
- the products you configured — sizes, finishes, hardware and quantities — and any reference you give an opening, such as “Door 101.”
When you use the customer portal
If you have a portal account, we also hold:
- your sign-in details. Passwords are stored in hashed form and are never visible to our staff;
- the company your account belongs to, and which of your colleagues can see the same estimates and orders;
- the job name and purchase order number you enter when you accept an estimate;
- the history of your estimates and orders, including their status, quantities ordered and shipped, and shipping references.
2. Information collected automatically
- IP address, for limiting estimate requests. To stop automated abuse of the product builder, we keep a hashed version of the IP address a request came from for about an hour, so we can limit how many requests come from one address.
- Security logs. Our site security software records IP addresses and times of sign-in attempts and other security events, so we can detect and block attacks.
- Server logs. Like any website, our hosting provider records standard technical information about requests, such as IP address, browser type and the pages requested.
3. How we use your information
- to prepare, price and send you estimates;
- to process and track orders you place with us, and to keep you informed about their progress;
- to run your portal account, including letting your colleagues see your company’s estimates and orders;
- to record estimates and customer details in our accounting system, as described in section 4;
- to answer your questions and provide customer service;
- to keep the site secure and prevent fraud and abuse;
- to keep business records we are required to keep, such as accounting and tax records.
We do not sell your personal information, and we do not use it for advertising.
4. Our connection to QuickBooks Online
We use QuickBooks Online, provided by Intuit Inc., for our accounting. Our website is connected to our own QuickBooks Online company so that estimates created on this site can be recorded there for our accounting team to review and invoice.
What we send to QuickBooks
- Customer details: your company name, contact name, email address, and phone number, so the estimate is filed against the right customer.
- Estimate details: the estimate reference, the products and quantities on it, their prices, and your job name and purchase order number where you have given them.
Not every estimate is sent. We send larger estimates, and estimates that include items one of our representatives still needs to price, only after a representative has reviewed them.
What we read from QuickBooks
- existing customer records, so we can find your company rather than create a duplicate;
- our list of products and services, so estimates are recorded against the right accounts;
- the estimates this site has created, so we can check that our records match.
What we do not do
- The connection is limited to QuickBooks accounting data. It has no access to payroll, payments or banking.
- We do not sell, rent or share information obtained from QuickBooks with anyone else for their own use.
- We use it only to run our business with you, as described in this policy.
The credentials that connect our site to QuickBooks are stored encrypted and are never sent to your browser. Information held in QuickBooks is also subject to Intuit’s Privacy Statement.
5. Cookies
This site uses only the cookies it needs to work. When you sign in to the customer portal, WordPress sets cookies that keep you signed in; they are removed when you sign out or when they expire. The product builder itself does not store anything in your browser.
We do not use advertising cookies or cross-site tracking.
6. Who we share information with
We share information only with the service providers we need to run our business, and only for that purpose:
- Intuit (QuickBooks Online) — our accounting system, as described in section 4;
- our email delivery provider — to send estimate confirmations and order updates. A log of emails sent is kept so we can confirm delivery;
- our website hosting provider — which stores the site and its data;
- Google Fonts — the site loads its typefaces from Google, which receives your IP address when a page loads;
- manufacturers and suppliers — the product and delivery details needed to fulfil an order you have placed.
We may also disclose information if the law requires it, to protect our rights or the safety of others, or as part of a sale or reorganization of our business.
7. How long we keep information
We keep estimates, orders and the customer details attached to them for as long as we need them to serve you and to meet our accounting, tax and legal obligations. Portal accounts are kept until they are closed. Security logs, email logs and the temporary records described in section 2 are kept for shorter periods and then deleted.
8. Security
The site is served only over encrypted connections (HTTPS). Passwords are stored in hashed form, our QuickBooks connection credentials are encrypted, and access to customer information is limited to DoubleTree staff who need it. No method of storing or sending information is completely secure, but we work to protect yours.
9. Your choices and rights
You can ask us to:
- tell you what personal information we hold about you;
- correct information that is wrong;
- delete your information or close your portal account.
Email us at [email protected]. We will confirm your identity before acting on a request. We may need to keep some records — for example, invoices and order history — where the law requires it. Depending on where you live, you may have further rights under your state’s privacy laws, and we will honor them.
10. Children
This site is for businesses and is not directed to anyone under 18. We do not knowingly collect information from children.
11. Changes to this policy
If we change this policy, we will update the date at the top of this page. If a change materially affects how we use information we already hold, we will tell portal account holders by email.
